Privacy Policy

AI Meeting Intelligence ("the Service") is provided by DevNewAge Consulting. This policy explains what data we collect when you use the Service, why we collect it, how long we keep it, and who else it's shared with.

1. What we collect

• Meeting recordings and transcripts. When you connect a meeting for capture, our capture provider joins the call, records it, and produces a transcript.
• Extracted meeting content. The Service analyzes transcripts to propose structured items — commitments, objections, deal information — for your review. Nothing is written to your CRM without a human reviewer approving it first.
• CRM data. Once you connect HubSpot, the Service reads contact, deal, and pipeline data needed to match meetings to the right records, and writes back only the specific fields a reviewer approves.
• Calendar data. If you connect a calendar, the Service reads event details (time, participants, meeting link) to know when and where to join.
• Account and workspace data. Name, email address, and your role within your organization's workspace.

2. Meeting consent

When recording starts, the Service posts an announcement in the meeting stating that it is being recorded and transcribed, and how to object (typing "stop recording" in the meeting chat). An objection stops the recording. Responsibility for complying with your local recording-consent laws (which vary by jurisdiction) rests with the meeting host who enables capture.

3. How long we keep data

Retention periods are configurable per workspace by your administrator. Unless changed, the defaults are:

• Meeting recordings (audio/video): 7 days
• Transcripts: 365 days

If a participant objects during a meeting, that recording's media is deleted.

4. Who else processes this data

The Service relies on the following subprocessors:

• Recall.ai — joins and records meetings, produces transcripts.
• HubSpot — the CRM this app integrates with, per your own HubSpot account's terms and privacy policy.
• Google — calendar access, only if you connect a Google Calendar.
• Resend — sends transactional email (e.g. review notifications).
• Stripe and Metronome — billing and usage metering, once a workspace is on a paid plan.

We do not sell your data or share it with third parties for their own marketing purposes.

5. Security

• Each customer's data is isolated at the database level — one workspace's data is never queryable from another's, enforced by the database itself, not just application logic.
• CRM connection credentials (OAuth tokens) are encrypted at rest.
• Actions taken on your data (reviews, CRM writes, connections/ disconnections) are recorded in an audit log.

To request a copy of your data, ask us to delete it, or ask a question about this policy, contact amolraj@gmail.com. We don't yet have a self-serve export/deletion tool — requests are currently handled manually.

7. Changes to this policy

We'll update the date at the top of this page when this policy changes. For material changes, we'll notify workspace admins directly.
